Role Overview
We are looking for a Payroll Manager – Payroll & Compliance to own and manage the organization’s end-to-end payroll function. The role will be responsible for ensuring accurate, timely and compliant payroll processing while driving strong payroll controls, statutory compliance, reconciliations, audits and reporting.
The ideal candidate will have strong hands-on experience in end-to-end payroll, statutory compliance, payroll taxation, payroll systems and payroll accounting, with the ability to manage payroll across multiple entities and locations.
Key Responsibilities
- Manage the end-to-end monthly payroll process for 400+ employees, ensuring accuracy, timeliness and compliance.
- Validate and process payroll inputs including attendance, leave, variable pay, incentives, reimbursements, deductions, new joiners, exits and salary revisions.
- Ensure timely and accurate compliance with PF, ESIC, Professional Tax, TDS, Gratuity and other applicable statutory requirements.
- Manage monthly payroll taxation, TDS calculations, tax declarations, investment proofs and Form 16 processes.
- Conduct detailed payroll reconciliation across HRMS, payroll records, bank statements and Finance/accounting records.
- Work closely with Finance on payroll accounting, salary disbursement, month-end closure and reconciliation.
- Prepare and publish payroll MIS, headcount reports, payroll analytics and management dashboards.
- Own periodic payroll and statutory audits, ensuring timely closure of observations and discrepancies.
- Handle employee queries related to salary, deductions, taxes, PF, reimbursements and statutory benefits.
- Maintain accurate payroll records and ensure strict confidentiality of employee compensation and personal data.
- Manage payroll/HRMS systems and ensure accurate employee master data and payroll configuration.
- Drive payroll process improvements, automation, controls, and standardization to improve accuracy and efficiency.
- Coordinate with external payroll vendors, consultants, and statutory partners wherever required.
- Track changes in applicable tax, payroll, and statutory regulations and ensure timely implementation.
- Develop and maintain payroll SOPs, compliance trackers, process documentation and internal controls.
Qualifications & Experience
- 5–8+ years of hands-on experience in Payroll and Payroll Compliance.
- Strong experience managing end-to-end payroll independently for a mid-sized or large organization.
- Strong working knowledge of PF, ESIC, Professional Tax, TDS, Gratuity and other applicable statutory compliances.
- Hands-on experience with payroll taxation and Form 16.
- Experience with payroll/HRMS platforms such as Keka, Darwinbox, GreytHR, SAP, ADP or similar systems.
- Strong proficiency in MS Excel, including payroll reconciliation, analysis and MIS reporting.
- Experience working closely with Finance on payroll accounting and reconciliation.
- Experience handling payroll audits and statutory audits.
- Strong analytical and problem-solving skills with high attention to detail.
- Ability to manage sensitive payroll and compensation information with complete confidentiality.
- Experience managing payroll across multiple entities or locations is a plus.
- Experience in payroll system implementation/migration is an added advantage.
Ideal Candidate Profile
- A hands-on payroll specialist with strong ownership of payroll and compliance.
- Strong understanding of the complete payroll cycle from inputs → processing → validation → reconciliation → statutory compliance → taxation → disbursement → reporting.
- Strong knowledge of payroll controls and ability to identify and resolve discrepancies independently.
- Ability to work effectively in a startup, fast-growing, multi-entity organization.
- Strong stakeholder management skills with HR, Finance, employees, auditors, and external vendors.
